What is a webinar series?
A webinar series groups multiple webinars under the same management and registration process. All webinars in the same series share a registration page with the same registration form. They’ll also share branding, emails, and event room settings.
Tip
Use a webinar series whether you're running a multi-session program, such as a three-part thought leadership series, or running a recurring event like the same weekly customer onboarding demo. You can choose whether each webinar covers different content or if they’re on a consistent schedule.
Your audience only needs to sign up once to register for all the webinars in a series or to register for the webinar that works best for their schedule. The registration form can be adapted to your program’s needs.
Create a webinar series
Note
Webinar series is only available on plans with the Webinars Plus add-on.
To create a webinar series, click "New" from the Home page, then hover over “Host webinar” and choose "Webinar series."
Alternatively, create a webinar series from the Webinars page by clicking "Create," then “Webinar series.”
You’ll then be brought to your newly created webinar series overview page, where you'll set up the series and add webinars.
Add webinars to your series
From the series overview page, click "Add" to add a webinar. There is no limit to the number of webinars you can add to a series.
For each webinar, you'll be prompted to update:
Webinar details (Title, date and time, duration, and description)
Webinar type (Live, Pre-recorded, or External studio)
Thumbnail (optional for each webinar)
On-demand viewing
Note
The webinar title, thumbnail, and description are all optional. If unchanged, they will take on the default series title, thumbnail, and description.
Your webinars will be organized on the webinar series overview page into “Upcoming” and “Completed” sections.
Tip
Each webinar in a series will continue to appear in the "Scheduled" and "Completed" tabs with your other created and hosted webinars.
Customize your webinar series
Customizations apply at the series level, so all webinars in the series share the same settings. To get started, click "Customize" at the top of the series overview page.
You can customize the Brand, Registration page, Registration form, Event room, and Emails. For more details on how webinar customizations work, visit our Webinar Customizations article.
Brand
Brand colors, fonts, rounded corners, and logo apply to the shared series registration page and every webinar’s event room. You can make a change at any time, but a change will affect all webinars, both upcoming and completed, in the series.
Registration page
Registration is enabled and required for webinar series. All webinars added to a series will share the same registration page.
You can further customize the registration page to hide the list of upcoming and on-demand webinars, or hide each webinar's thumbnails.
Registration form
Note
Only Wistia registration forms are supported on a series.
All webinars added to a series share the same registration form. Any form fields enabled or custom fields added will show up on the shared registration form, and registrant data will be added to the analytics for each webinar they signed up for.
You can also decide whether the form defaults to having all webinars selected or not.
When this option is on, and all webinars are selected, users are more likely to register for all webinars in the series - good for multi-part webinar programs.
When this option is off, only the first upcoming webinar will be selected, and registrants can instead select the best date/time that works for them – good for programs where you want to cater to different time zones or schedules, and the audience only needs to attend one webinar.
Event room
While each webinar will have its own event room URL, your customizations will apply to all webinar event rooms. This means you can save time when enabling or disabling features like audience engagement tools, attendee count, redirect URLs, stage backgrounds, webcam backgrounds, and share buttons, as they’ll be applied to every upcoming and completed webinar in the series.
Tip
Want to change the colors of the event room for the next webinar? You can make customization updates at any time, but they will apply to all webinars in the series.
Emails
Confirmation emails are on by default. All email settings apply to every webinar in the series.
When your audience registers, they will receive a single confirmation email that shows the webinars they registered for (whether it was all or only one).
Reminder and follow-up emails, if enabled, are sent for each webinar.
Share your webinar series
To share your webinar series with your audience, click "Share" at the top of the series or individual webinar overview page. From there, you can optionally add tracking to the audience link and copy the link to the series registration page.
From an individual webinar in the series, you can use the Share button to copy Host and Panelist links as well.
Join a Webinar in your series
Each webinar has its own Join links. Select a webinar from the series and use the "Join event room" button to join as a host, panelist, or audience member.
Webinar series replays and on-demand
If "On-demand viewing" is enabled, audience members can watch a past session by returning to the series registration page and clicking a completed session. New viewers fill out the registration form to access the recording. You can turn off on-demand for an entire series or specific session if you don't want its recording available.
Webinar series analytics
Individual webinar analytics
Each session keeps its own webinar analytics, unchanged. Registrants who signed up through the series form appear in each session's registration table.
Tip
From webinar analytics, you can block a registrant or domain to prevent specific viewers from joining an individual session.
Webinar series analytics
The series analytics page shows aggregate stats, including total unique registrants across all sessions and a per-session table with registrations, attendance, attendance rate, and engagement rate that you can sort by any metric.
To view analytics for the whole series, click "Analytics" at the top of the series overview page. You'll see:
Overview: Impressions, total unique registrants, unique attendees, and total new contacts across all sessions
Registration trends: Impressions, unique registrants, and registration rate over time
Referral and UTM analytics: Where your series registrants came from
Webinars table: Registrations, attendance, attendance rate, and engagement rate for each session. You can sort it by any metric.
Click "Export" to download the webinars table as a CSV.
Note
Unique registrants counts each person once, even if they registered for multiple sessions.
Webinar series audience
Click "Audience" at the top of the series overview page to see everyone who registered for the series in one table. Each registrant shows how many sessions they registered for and attended, along with their registration details, contact status, source, and UTM parameters.
Click "Export" to download the table as a CSV.
Delete a webinar series or a session
Delete a session
To delete a single session, locate the webinar on the series overview page, click the vertical ellipsis next to it, and click "Delete."
To delete multiple sessions, select those sessions using the checkboxes and then click "Delete" at the bottom of the page.
Delete a series
If you'd like to delete an entire series, click the ellipsis button on the overview page, then "Delete series."
