Read through this checklist to get ready for your Live event!

1 Hour before your webinar

This checklist will help you perform last-minute checks before your event starts, ensuring everything runs smoothly.

Basic Setup

  • ​​Test Registration Forms: Verify that your registration forms are functioning correctly by submitting a test registration.

    • Ensure confirmation emails are being sent and received promptly.

  • Recording Settings: Confirm where your recorded webinar will be saved and ensure the correct folder is selected.

  • Link Verification: Test all access links for hosts, panelists, and audience members.

    • Check that the links direct to the correct event and that access permissions are appropriately set.

Event Room

  • Audience Experience:

    • Sidebar:

      • Ensure chat, Q&A, and poll preferences are configured and displayed correctly.

      • Test chat and Q&A functionalities to ensure they work smoothly.

    • Polls:

      • Verify that poll questions and options are accurate and displayed correctly.

      • Test the poll feature to confirm it is functional.

  • Top Bar:

    • Logo Display:

      • Check that your logo appears correctly across both desktop and mobile devices.

      • Ensure it is clear and not pixelated.

    • Event Link Button:

      • Confirm if the "share event link" button is displayed or hidden as intended.

      • Test the link to ensure it directs to the correct page.

    • Custom Button:

      • If using a custom button, test the URL to ensure it leads to the correct landing page.

      • Verify that the landing page loads correctly and provides the intended experience.

  • Background:

    • Customization: Add or update the custom image or background color.

      • Ensure it enhances the visual experience without distracting from the content.

Update Settings: If any changes are needed, navigate to “Customize” → “Event Room” to adjust your settings.

Emails

  • Navigate to “Customize” → “Emails” to check your email settings.

    • Reminder Emails: Verify the timing and content of your reminder emails, including subject lines and preview text.

    • Follow-Up Emails: Ensure your follow-up emails are scheduled and customized.

    • Social Profiles: Decide if you want to enable social profiles in your reminder and follow-up emails.

    • Sender's Name: Set the email sender’s name. Note that emails will be sent from [email protected], but the sender’s name will appear in inboxes as “[SENDER’s NAME] [email protected]”.

30 Minutes before your webinar

  • Host and Panelist Confirmation: Confirm with all hosts and panelists that they can join through their event links.

  • Troubleshooting: For any camera, mic, or screen sharing issues, troubleshoot the most common issues here.

  • Screen Sharing Preparation: Ensure all screens, tabs, and slide decks are ready to be shared with the audience.

    • Test transitions between presenters to ensure smooth handovers.

    • Have backup slides or materials ready in case of technical issues.

By following this checklist, you can ensure a seamless experience for both you and your attendees.
