Re-sync Marketing Integrations

Learn how to re-sync registrants to your marketing automation platform.

After connecting your webinar registration to a list in a marketing automation platform (MAP) like HubSpot, Pardot, or Marketo, you may encounter discrepancies in registrant data across platforms. When this happens, you can manually re-sync your registrant data in Wistia.

There are two ways to re-sync your registrants:

  • Connect to a list: Clicking "Connect" and selecting a MAP list sends any previously collected registrants to that list. You'll see a "Sending" status, then a green badge once the connection is complete. If "Sending" persists, refresh the page to confirm it finished.

  • Force a re-sync: Disconnect from the list and reconnect. Disconnecting never removes contacts already in your MAP. For Marketo and Pardot, "Disconnect From List" disconnects both the registrant and attendee lists.

Note

If your registration form was built in HubSpot, Marketo, or Pardot (a MAP form), Wistia does not store any registrant data and cannot retroactively retrieve it. Re-sync applies only to Wistia registration forms.

Re-sync registrants

To access your connected MAP lists, click "Audience" on your webinar overview page.

On the Audience page, click the "Connected" button:

In the modal that opens, click "Disconnect From List," then reconnect to your desired list. It can take up to 30 minutes for registrants to re-sync.

Note

Some MAP lists may not be available for connection. For example, only static lists are supported for HubSpot.

If you've already collected registrants before connecting your event to an MAP list, clicking "Connect to [MAP] List" will send all existing registrant data from Wistia to your chosen list. Re-connecting to a new list will also re-sync your registrant data.

Note

If you edit a custom registration form field, disconnect and reconnect to your MAP list to re-sync the updated data.

Re-sync attendee data

Attendee data (including Q&A responses) syncs separately from registrants and is automatically synced about 1 hour after your event ends. This requires a Wistia registration form and that you've opted in to attendee data syncing on the integrations page. If attendee names aren't appearing in your MAP, confirm both before re-syncing.
