When you set up your webinar's registration with a Wistia form to send entries to a list in your connected primary integration, you'll collect registrant as well as attendee data.
If you haven't set up your webinar's registration page, head to our Getting Started with Webinar Registration page for a full breakdown. Read on for more details on webinar attendance data in your connected integration.
Note
In order to see attendance data, you'll need to use a Wistia form for your webinar's registration. To see data in HubSpot, Marketo, Pardot, or Klaviyo, you'll need to be on a plan with one of these integrations connected and set up as your primary integration. Learn more about our plans on our Pricing page.
Attendee-level data in HubSpot, Pardot, and Marketo
To send detailed attendee-level data to HubSpot, Pardot, or Marketo, you'll need to opt in to attendee data syncing on your integrations page. Select the checkbox next to the "For Webinars" option and click "Connect" or "Update" to save your changes.
With this option enabled, the following custom fields will be sent to the connected marketing platform:
Wistia Last UTM Campaign

Wistia Last Referrer
Wistia Last IP Country
Wistia Last IP Region
Wistia Last IP City

Note
Attendee-level data will be synced to the connected platform as soon as the webinar recording has finished rendering. Attendee-level data for past webinars cannot be retrieved retroactively.
HubSpot attendance data
In addition to collecting registrants in HubSpot, you can see the attendance data for a webinar on each contact record.
There are a few required pieces in order to set this up:
Be sure HubSpot is set up as your primary integration.
If you connected your HubSpot integration before April 17, 2023, you will need to disconnect and reconnect the integration.
Create a Static List in HubSpot to connect to your webinar (for registration and attendance data to come through).
Add a Wistia form to your webinar's registration page.
To view attendee data on a Contact Record, click into your desired Contact Record, open the Activities Tab, click into the Activity Sub-Tab to select Filters, and ensure “Marketing events” is checked.
To view all Marketing Events, head to your Contacts page, click into the dropdown menu, and select “Marketing events.”
After a webinar, attendees can be segmented and added to new workflows and lists in HubSpot.
Marketo attendance data
With Marketo set as your primary integration, and a Wistia form set up for your webinar's registration, you can send attendance data there.
Tip
We highly recommend choosing a different list than your registrant list to ensure the data is segmented correctly.
When someone registers for a webinar, Wistia creates a contact record for them in Marketo. When that person attends the live stream, the contact record will appear in the selected attendee list to indicate that the person attended.
Attendees will display in the specific list you’ve selected to send them to.
The attendee list will also display in the Activity Log in Marketo, and attendee data will sync as a custom activity in a lead's Activity Log.
Pardot attendance data
Set Pardot as your primary integration to send webinar attendance data.
On the Audience page for your webinar, select a list to send attendees to.
Tip
Select a registration list in order to select an attendee list.
When someone registers for a webinar, Wistia creates a contact record for that person in Pardot. From there, when they attend a webinar, the contact record will update to indicate that.
If someone registers and/or attends a webinar and their contact record already exists in Pardot, we’ll update the existing record to include the additional activity.
After the webinar, attendees will show in the designated list in Pardot.
Attendees will also display in the Activity Log in Pardot.
Attendee-level data in Klaviyo
To receive webinar attendance data in Klaviyo:
Ensure Klaviyo is set as your primary integration.
If you connected your Klaviyo integration before March 9, 2026, you will need to reconnect the integration.
On the Audience page for your webinar, select a list to send registrants and attendees to.
Tip
To ensure contacts appear immediately, create a single opt-in list in Klaviyo to connect to your webinar.
The following attendance data is synced in Klaviyo:
Profile Events
Webinar Attended
Attendance timestamp
Total time watched
Poll Response count
Q&A count
Chat message count
External link count
Custom properties
UTM Params
Total time watched
Klaviyo attendance data
With the Klaviyo integration connected to your webinar, Wistia syncs registrant contact info to Klaviyo (creating a new Profile or updating an existing one). Then, webinar engagement will be tracked and attributed to the Profile.
Registrants populate in the connected list in Klaviyo, and attendance data will appear in the Profile timeline as Events and as Custom Properties for segmentation.
Attendee-level data in ActiveCampaign
In order to collect webinar attendance data in ActiveCampaign:
Set ActiveCampaign as your primary integration.
Ensure the ActiveCampaign Event Key and Account ID have been added to the integration, and "Webinar data" is enabled. You can read more about this here.
On the Audience page for your webinar, select a list to send registrants and attendees to.
The following webinar data will be synced in ActiveCampaign:
Contact fields
First name
Last name
Email address
UTM Campaign
UTM Source
UTM Medium
Referrer
Registered
Registration date
Attended
Attended timestamp
Time watched %
Poll response count
Chat message count
Annotation link click count

ActiveCampaign attendance data
With the ActiveCampaign integration connected to your Wistia registration form, registrant contact info is sent to ActiveCampaign (creating a new contact or updating an existing one). Then, webinar engagement will be tracked and attributed to the contact.
Fields and activities appear on your ActiveCampaign contact records.
