Troubleshooting Webinar Analytics and Attendance Data

Having trouble with your webinar analytics and attendee data? Read through the troubleshooting guide below.

Webinar analytics come from a few different places, and they don't all populate at the same moment. Many potential issues come down to how recently the webinar ended, or how registration was set up.

Where your webinar analytics live

There are two places to view attendance inside Wistia:

  • Audience page: This is the source of truth for each individual audience member. It shows who registered, who attended, time watched, contact status, and attendee heatmaps. Click "Audience" on your webinar's Overview page to see this data.

  • Webinar Recap: This includes the Audience funnel (impressions, registrations, attendees, watched over 75%), engagement, polls, and more.

The Audience page is the record of individual attendees, and the Recap summarizes them.

Note

Attendance data in a connected marketing platform (HubSpot, Marketo, Pardot, etc.) is a synced copy, not the source. If Wistia and your integration disagree, trust the Audience page and check the integration separately (read on for more information on this).

Analytics can take time to appear after a webinar ends

Some data is available live (impressions and registrations show before and during the event), but attendee and engagement figures are finalized after the event ends and the recording finishes processing.

  • Attendee-level data syncs to a connected integration once the webinar recording has finished rendering, not the moment the event ends.

  • Give the recording time to finish before assuming attendee data is missing.

Tip

If the event just ended, check back after the recording has finished rendering before troubleshooting further.

Why numbers don't match

There are a few reasons why you might be seeing different numbers across your webinar metrics.

  • Registrants vs. attendees: Registrant count and attendee count are different metrics. Only people who joined the actual live webinar count as attendees.

  • Restricted registrants: Registrants from blocked domains appear in the registration table but are counted separately and don't receive reminders or access.

  • Live vs. on-demand: For webinars created on or after July 24, 2025, the Webinar recap splits the Audience funnel into Live and On Demand sections. On-demand views registered after the event add to totals over time.

  • New contacts: The New contacts tile uses a rolling 2-year window, so it won't match your raw registrant count.

Seeing 0 attendees

If you're not seeing any attendees, this is often a registration-setup issue rather than lost data. Check the following:

  1. A Wistia registration form was enabled: Complete attendance data in Wistia requires a Wistia registration form that stayed enabled throughout the webinar. If a marketing automation platform (MAP) form was used instead, registrant and attendee details live only in that MAP, not on the Audience page.

  2. The recording has finished rendering: Attendee data isn't final until the webinar recording finishes rendering.

  3. People joined the live webinar: On-demand recording viewers are tracked separately from live attendees.

If a Wistia form was enabled throughout, the recording has fully rendered, and people attended live but the Audience page still shows 0, contact our Support team with the webinar link and we can take a look.

Attendance data missing in your integration

If registrant or attendee data isn't reaching HubSpot, Marketo, or Pardot, there are a few pieces to check:

  • Opted into attendee syncing: On your Integrations page, click "Reconnect" and be sure you've enabled the For Webinars or Webinar data box.

  • The recording must finish rendering before attendee-level data syncs.

  • Past webinars can't be backfilled: Attendee-level data can't be retrieved retroactively for an event that already happened.

Some metrics have availability dates

A metric can be legitimately absent because the webinar predates the feature:

  • Focused attendee data: This metric will appear on webinars completed after February 26, 2024.

  • Attendee heatmaps: Heatmaps display for webinars created on or after January 23, 2025 (Wistia registration form required).

  • On-demand analytics: These analytics show for webinars created on or after July 24, 2025.

When to contact support

Reach out to our Support team with your webinar link if you've read through the above and are still encountering issues such as:

  • A Wistia form was enabled throughout and the recording fully rendered, but attendees still show as 0.

  • Attendee counts change unexpectedly or drop after being correct.

  • Data is present in Wistia but never syncs to a properly opted-in integration.
