Live Event Emails and Personalized Links with Pardot

Send your own live event emails via Pardot with personalized registration links.

Sync Wistia User IDs (Visitor Keys) to your connected Pardot account to send your own emails for live events in Wistia. You can create personalized links to send within your live event emails.

This article walks through how to construct links to be used in the emails, as well as how to set up workflows to trigger confirmation and reminder emails.

Set up your account for Pardot live event emails

Connect Pardot

To start, connect your Wistia account to the Pardot integration and be sure to check the “For Live Events” checkbox:

Create live event

In Wistia, create a live event and select a Wistia form for the registration. Connect Pardot from the registrants page and select a newly created list to send registrants and attendees to.

Within your live event, click "Emails" to open up the email customization page, and turn confirmation emails off.

After you've exited Customize, click the "Share" dropdown menu. From there, select "Share event links" and copy the audience link.

Construct personalized registration link

Take the audience link that you copied for your live event, and append the following URL parameters to it:

?uid={{Recipient.Owner.Email}}&vk={{Recipient.wistia_visitor_key}}

Here is an example link:

https://lenny.wistia.com/live/events/cfps94ze2z?uid={{Recipient.Owner.Email}}&vk={{Recipient.wistia_visitor_key}}

This URL ensures registrants are admitted to your event without having to re-submit the registration form. If someone has previously registered for one of your events (following 06/23/2025) and one-click registration is turned on for your event, returning visitors will see the one-click registration form.

Live event confirmation emails via Pardot

In Pardot, under Marketing, within Emails, select "New Email Template" and fill out the form.

In the body of the email, add a link to join the event.

You can use the standard editor, add text (such as Join Event), highlight the text, and click on the link icon. Or, you can use the HTML editor and add the link to an anchor tag.

Paste the audience link you copied from the event (see Construct personalized registration link).

You can preview the email with a contact to ensure the values are correctly populated in the link. Ex.:

If this is your first event since June 23rd, 2025, the visitor key may be blank. Once someone registers after that date, it will be populated if you have the event integrated with Pardot.

Click "Preview", and change the “To:” selection to be one of your prospects. You can then hover the link to verify that the URL parameters are correctly interpolated.

Make sure to go to the TEXT tab within the email editor and Sync From HTML. Continue to the TESTING tab if you’d like to test further.

Go to the SENDING tab, fill out the required fields, then Publish to Template.

Now, under the Marketing tab in Pardot, select "Engagement Studio" and click "Add Engagement Program".

Fill out the form. Select the registration list that was selected when setting up the integration in Wistia. Check/uncheck configuration options.

Tip

Both "Send emails during business hours only" and "Allow prospects to enter the program more than once" are not necessary.

You’ll be presented with an automation canvas. Click on the “+” icon to add an element (step).

Select Action > Send Email > Select the email template that was created earlier. Then, select the option to send immediately and save.

Click on “Start” to activate the program.

Go to the registration page for your event, fill out the form, and submit it. Look for the confirmation email in your inbox. If you click on the link in a private browsing window, you'll find that the registration page will know that you previously registered.

Note

The processing within Pardot once you have registered will not be immediate. It might take a few minutes to process the prospect registration.

Live event reminder emails and attendee emails via Pardot

Live event reminder emails and attendee emails work similarly to the confirmation emails. To start, navigate to the Marketing tab, hover over emails, and click on "Templates".

Click on the settings/gear icon for the confirmation email template just created, and select "Copy".

Fill out required fields, rename to the appropriate email name, and save.

Update the email template text. Save & Publish to Template.

Go back to Engagement Studio, click on the settings/gear icon of the newly created program, and edit.

Pause the program and head to the Build tab. Add a new element after the first Send Email.

Select Action > Send Email > select new reminder email template > select On Date > select your desired date prior to the live event.

Restart program. Now, when you register, you will also get the reminder email.

Live event registration emails via Pardot

These are emails sent to contacts to encourage them to sign up for a live event. If a contact previously registered for an event on or after Jun 24, 2025, using the identity link (see Construct personalized registration link) will provide them with a one-click registration button when visiting the registration page via that link.

To set this up, create an email, select recipients (could be a list, etc.), and send the email.

When clicking on the link in the email to register, if they have previously registered for an event (June 24, 2025 or later), they will see a one-click registration form:
