On the Registrants page, you'll find data about who registered for and ultimately attended your webinar. You can also see when your webinar is scheduled, join the event room, share your webinar, and more.
Tip
You can also join the event room, share the webinar, and see details about your event from the Overview page.
To access the Registrants page, click "Audience" from your webinar's Overview page.
Alternatively, in the "Scheduled" webinars tab, click the registrant count on the right to navigate directly to the Registrants page. (Completed webinars will instead display the attendee count.)
Join event room
Click the "Join event room" dropdown menu to join as a host or panelist, or to view the webinar as an audience member.
Share event links
Click "Share" to copy invitation links for hosts, panelists, and audience members, or to share the webinar with users for them to manage and/or host it.
Check out the Webinar Participant Types page to learn about inviting users to your webinar.
Share your webinar with personalized registration links
You can construct a personalized registration link for your webinar to ensure that registrants are admitted to your event without having to resubmit the registration form. This works alongside workflows in your connected HubSpot, Pardot, or Marketo account.
With one of these platforms connected, you can add personalized registration links and create workflows to send confirmation, reminder, and follow-up emails.
If you're using HubSpot, head on over here.
For Pardot, check out this article.

Registrants
On the Registrants page, you'll see how many people have registered for your event and, after your event, how many attended. If you have blocked domains, you can also see how many registrants with blocked domains signed up.
You'll see the specific registrant information you've collected (name, email, etc.). This includes the date of registration as well as the source, UTM campaign (if applicable), time watched, and more.
If you'd like to see information about a specific group of registrants, click "Filter" to choose among viewing allowed registrants, restricted registrants, attendees, and non-attendees.
Attendee Heatmaps
Following the event, for each registrant, heatmaps display how focused an attendee was during the event. The "Show Heatmap" checkbox is checked off by default, but can be disabled if you'd like.
Note
Heatmaps are available for events created on or after January 23, 2025. Webinars must use a Wistia registration form in order to show heatmap data.
Each heatmap shows a couple of different metrics:
Attended: Indicates whether the attendee joined and was present during the webinar.
Focused: The times the attendee was actively engaged with the event window in focus.
Chat: Marks each time an attendee submitted a message in the chat.
Hovering over a heatmap shows the frames throughout the event, so you can specifically see when an attendee was focused or not.
Tip
Click on the heatmap header to sort the table by watched percentage so you can identify the most engaged attendees.
Connect to integration
You can connect your webinar to an integration to send registrant and attendee data to a list. If you don't currently have an integration connected, you'll see the option to "Connect to integration." Clicking this will prompt you to set one up. Select "Manage integrations," which will take you to your account's integrations page.
Note
Only Account Owners and Managers can edit account-wide integrations.
Once you have an integration connected, you'll see the option to "Connect" on the Registrants page.
In the modal, select a list from the dropdown menu, then confirm that you'd like to connect to that list.
If you connect to a list after you've already received registrants, these will still sync to your integration. You'll see a notification indicating that registrations are syncing.
Once the integration is connected, you'll see the button display as "Connected."
If you'd like to change lists or disconnect the integration, click "Connected." In the window that appears, click "Disconnect From List."
If you'd like to select a new list, click "Connect" again and then choose a new list from the dropdown menu.
Check out this page for more information on attendance data.
Manage access
To set up restrictions for who can join your webinar, click "Manage domains."
From here, you can set up a Block list or an Allow list.
To learn how to set up one of these lists for your event, head over to the page on managing access for webinars.
Remove and block registrant
After someone has registered for your webinar, you can still choose to block and remove them from the event. To do so, on the Registrants page, click the three dots next to their name and then click "Remove and block registrant."
Once clicked, you will be asked to confirm your suggestion. Click "Remove" or "Cancel" to move forward.
Once you remove a registrant, their name will be crossed out in red. You can unblock them by clicking the three dots and then clicking "Unblock and Re-invite registrant."
Import registrants
From the Registrants page, you can bulk import registrants for your webinar using a CSV file.
Note
You must have the Wistia registration form enabled in order to use this feature.
To start uploading your registrants, click "Import."
From here, (if needed) download the CSV template to obtain a copy of the required format. Otherwise, click "Upload .csv" or drag and drop your CSV file.
Once your file is accepted, you'll be able to complete the import by clicking "Import people."
β
Note
Confirmation emails (if enabled) will be sent to each imported registrant.
Export
To export your registrant data, click into the "Export" dropdown menu on the Registrants page and select whether you'd like to export all registrants, allowed registrants, restricted registrants, attendees, or non-attendees.
Once you make a selection, you'll automatically receive a CSV file download.
